1. Information we collect
When you contact us
Your name, phone number, business name, city, website and message. Our website forms open WhatsApp or your text messaging app so you can review your message before sending; that message is then handled by WhatsApp (Meta) or your mobile carrier under their own privacy policies.
When you call or text our business line
Your phone number, the time of the call, and any message you leave with our automated assistant (converted from speech to text). Texts you send us are forwarded to our team. We do not record call audio.
When you become a client
Contact and billing details, your Order Form and acceptance record, content for your website, and account access you choose to share. Payments are processed by Stripe; we never see or store your full bank account or card number.
When you browse our website
Standard technical information such as your browser type and pages visited, handled by our hosting provider for security and performance. We do not use advertising cookies. Our Max helper stores a small "seen" flag in your browser's session storage so it doesn't pop up twice; it does not send your questions anywhere.
2. How we use it

We only send marketing emails or texts with your consent, as required by Canada's Anti-Spam Legislation (CASL), and every message includes a way to unsubscribe. Reply STOP to any text to opt out.
3. Our clients' customers
When our AI receptionist or text-back answers calls for a client business, we process the caller's phone number and message on behalf of that business, only to deliver the message to them. The client business decides how that information is used and is responsible for it. Callers should contact that business about their information; we will help the business respond.
4. Health and wellness businesses
For clinics and other health businesses, our assistant is configured to collect only a name, a callback number and a short reason for the call, and not to request health information. The clinic remains the health information custodian under Ontario's Personal Health Information Protection Act (PHIPA) for any health information it collects in its own systems. Clinics should not use our tools to store or send personal health information.
5. Service providers and where data is stored
We use trusted providers to run our services, including Cloudflare (website hosting and databases), Twilio (phone calls and texts), Stripe (payments), Google (email and business tools) and, where enabled, Anthropic (short AI summaries of messages). Some of these providers store or process information outside Canada, including in the United States, where it may be accessible to authorities under local law. We choose providers with strong security and contractual privacy protections.
6. Retention
We keep information only as long as needed for the purposes above. Call and text logs are kept for up to 12 months. Client billing records are kept for at least 6 years as required by the Canada Revenue Agency. When information is no longer needed, we delete or anonymize it.
7. Security
We use encryption in transit, access controls, signed webhooks and least-privilege access to protect information. No system is perfectly secure, and we will notify affected people and the Privacy Commissioner of Canada of any breach that creates a real risk of significant harm, as required by law.
8. Your rights
You can ask to access, correct or delete your personal information, or withdraw consent, by contacting our privacy officer. We will respond within 30 days. If you're not satisfied, you can contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.
